Job Title: Development & Events Coordinator

Division: Development & Engagement

Reports To: Development Director

Overview: The Development & Events Coordinator is responsible for providing administrative support for development and coordinating CAA events. This position works closely with the Development Director and event-specific planning committees to ensure events are well-planned and successfully delivered. Outside of special events, this role serves as the primary point of contact for all giveback and outreach events.

Development:

  • Enter all gifts accurately and in a timely manner

  • Manage gift processing workflows and troubleshoot issues

  • Maintain donor records and updates in CRM

  • Generate basic reports as requested

  • Manage and execute all gift acknowledgment processes and timelines

  • Personalize messaging where appropriate

  • Prepare and send (handwritten) thank-you letters and tax receipts

  • Track donor stewardship touch points and assist with execution when appropriate

  • Handle general donor inquiries (phone/email) and route as needed

  • Maintain organized digital files and records

Events:

  • Coordinate special event planning in conjunction with the Development Director and respective committees

  • Assist with the development of event sponsorship packets

  • Solicit event sponsorships and maintain positive relationships with event sponsors

  • Manage onsite/day-of production and clean up

  • Organize efficient registration/check-in processes

  • Secure vendors, book event spaces, arrange food and beverage, recruit volunteers, and ensure events are appropriately staffed

  • Coordinate all event logistics

  • Coordinate logistics timelines, vendor coordination, and run-of-show support

  • Manage auction systems, procurement tracking, and reporting

  • Oversee volunteers and ensure execution aligns with event planning

  • Track RSVPs and manage guest lists

  • Complete post-event data entry

  • Serve as the designated point of contact for all giveback events

Qualifications

  • Education/Experience: high school diploma or GED and 2+ years of experience in related fields OR Bachelor’s Degree in communications, marketing, graphic design, or other related fields and 1-2 years of experience.

  • Required: Must be 21+ and have a valid Louisiana driver’s license.

Physical Demands

Work is performed at the shelter and at offsite meetings and events. Requires standing or walking for short to moderate periods and the ability to lift and carry up to 40 pounds as needed.
