Job Title: Development & Events Coordinator

Division: Development & Engagement

Reports To: Development Director

Overview: The Development & Events Coordinator is responsible for providing administrative support for development and coordinating CAA events. This position works closely with the Development Director and event-specific planning committees to ensure events are well-planned and successfully delivered. Outside of special events, this role serves as the primary point of contact for all giveback and outreach events.

Development:

  • Enter all gifts accurately and in a timely manner

  • Manage gift processing workflows and troubleshoot issues

  • Maintain donor records and updates in CRM

  • Generate basic reports as requested

  • Manage and execute all gift acknowledgment processes and timelines

  • Personalize messaging where appropriate

  • Prepare and send (handwritten) thank-you letters and tax receipts

  • Track donor stewardship touch points and assist with execution when appropriate

  • Handle general donor inquiries (phone/email) and route as needed

  • Maintain organized digital files and records

Events:

  • Coordinate special event planning in conjunction with the Development Director and respective committees

  • Assist with the development of event sponsorship packets

  • Solicit event sponsorships and maintain positive relationships with event sponsors

  • Manage onsite/day-of production and clean up

  • Organize efficient registration/check-in processes

  • Secure vendors, book event spaces, arrange food and beverage, recruit volunteers, and ensure events are appropriately staffed

  • Coordinate all event logistics

  • Coordinate logistics timelines, vendor coordination, and run-of-show support

  • Manage auction systems, procurement tracking, and reporting

  • Oversee volunteers and ensure execution aligns with event planning

  • Track RSVPs and manage guest lists

  • Complete post-event data entry

  • Serve as the designated point of contact for all giveback events

Qualifications

  • Education/Experience: high school diploma or GED and 2+ years of experience in related fields OR Bachelor’s Degree in communications, marketing, graphic design, or other related fields and 1-2 years of experience.

  • Required: Must be 21+ and have a valid Louisiana driver’s license.

Physical Demands

Employee Classification: Full-Time, Non-Exempt

This is a full-time, non-exempt position with a starting hourly rate of $14. This position is eligible for paid time off (PTO) in accordance with organizational policy, health, dental, vision, and life insurance coverage, IRA matching (up to 3%), employee assistance program (EAP), and basic veterinary care at cost.

Animal Caretaker - Full Time

Job Purpose:
- The FT Animal Caretaker at Companion Animal Alliance is responsible for providing high-quality care and support to the animals within the facility. This position is crucial in ensuring the well-being, safety, and comfort of all animals, while also assisting with the daily operations and maintenance of the animal care environment.

Key Responsibilities:
- Provide daily care to animals, including feeding, grooming, and monitoring their health and behavior.
- Maintain clean and sanitary conditions in animal housing areas and ensure all equipment is functioning properly.
- Assist in the intake and assessment of new animals, including conducting health checks and documenting any medical or behavioral concerns.
- Collaborate with veterinary staff to administer medications and treatments as needed.
- Engage in regular enrichment activities to promote the physical and mental well-being of the animals.
- Support the adoption process by providing potential adopters with information about the animals and their care needs.
- Monitor and report any changes in animal behavior or health to the appropriate personnel promptly.
- Participate in training sessions and workshops to stay updated on best practices in animal care and welfare.
- Assist with community outreach programs and events to promote animal welfare and responsible pet ownership.
- Ensure compliance with all regulatory and organizational policies related to animal care and safety.

Qualifications:

Required Education:
- High school diploma or equivalent.

Required Experience:
- Previous experience working with animals in a professional setting, such as a veterinary clinic, animal shelter, or pet boarding facility.
- Familiarity with animal behavior and handling techniques.
- Experience in maintaining cleanliness and sanitation standards in animal care environments.

Foster Program Coordinator

Division: Programs Department

Supervisor: Programs Director

Coordinate and facilitate the placement of animals into foster care. Work with various departments to identify animals that can be placed into foster care.

Job duties include but are not limited to:

  • Recruits and maintains a dynamic network of foster homes for shelter animals

  • Oversees the placement of animals into foster care based on their behavioral, medical, space, emergency needs, etc. 

  • Coordinates daily activities related to fostering, including foster appointments, health checks, medication/vaccine reminders, animal pick-ups/returns, etc.

  • Observe and assess the shelter population, and conduct animal meet and greets to determine the best foster home based on animal behavior, breed, medical condition, etc.

  • Coordinate foster related callouts via social media posts and email in order to generate interest for animals needing foster care.

  • Provide excellent customer service to foster parents, coworkers, volunteers, and shelter visitors.

  • Answer phone calls and emails from potential foster parents in a prompt, professional and informative manner.

  • Call, email, and use the volunteer database to communicate with foster parents about available shelter animals and assist foster parents with animal selection.

  • Maintain detailed, up-to-date records for all foster parents and foster animals through data entry and file organization 

  • Update animal pictures and biography information through Adopt-A-Pet, Petfinder, and in-house kennel cards.

  • Assist with providing care for animals going into foster care and currently in foster care.

  • Handle animals in a safe and humane manner.

Client Care Specialist (Full time)

Department: Operations

Supervisor: Shelter Senior Manger

The Client Service Specialists serve as the shelter’s main point of contact with members of the public via phone, email, and in person interactions. This position represents CAA in a professional and courteous manner and provides quality client service to all members of the public to ensure that every person has a positive experience. This position requires learning a wide range of policies and procedures and the ability to enter and complete accurate and complete data. The ideal candidate is naturally welcoming, confident, and resourceful while able to interact with and build positive relationships with a variety of people. Client Care Specialists are extremely hands-on with animals during the admission, redemption, and adoption processes. It is vital to have the ability to read animal behavior and handle animals of various species, sizes, and temperaments or be able to learn.

Job Duties include but are not limited to:

  • Providing kind, efficient, and timely client service via high-volume in-person, telephone, and email interactions to each guest without judgment or condescension

  • Displaying knowledge of current adoption discounts including but not limited to adoption specials, military discounts, staff discounts, senior discounts, etc. 

  • Counseling members of the public about basic animal care, housing, and medical responsibilities as directed by Standard Operating Procedures and provided materials 

  • Becoming familiar with the health and personalities of current adoptable animals, as this changes daily

  • Engaging potential adopters in respectful conversations while actively listening. Offering educated recommendations of available animals and resources based on knowledge gained during conversation

  • Displaying the ability to efficiently and accurately utilize Petpoint software 

  • Displaying the ability to schedule veterinary appointments and spay/neuter appointments utilizing Petpoint

  • Assisting in maintaining updated adoption advertisements including but not limited to Petfinder, Adoptapet, etc. 

  • Documenting any contact with members of the public regarding animals at the shelter accurately and efficiently

  • Providing compassionate counseling while scheduling admission appointments with members of the public to bring in owned or stray animals

  • Completing the initial admission process for all animals entering the shelter via public appointments

  • Reuniting families with their missing animals, having an understanding of appropriate redemption fines, completing redemption paperwork

  • Assisting clients with a lost pet walk through

  • Maintaining an organized workstation

  • Sanitizing based on CAA cleaning protocols to control the spread of disease

  • Ensuring all fees are correctly collected and the cashbox is balanced at the end of the day. 

  • Remaining calm and courteous to members of the public and coworkers at all times

  • Showing the ability to handle animals of various species, sizes, and temperaments

  • Demonstrating the ability to read animal behavior and use safe, low stress handling techniques utilizing the Fear Free guidelines

  • Provide basic husbandry for animals being housed in Client Care Department

  • Maintaining professionalism (attendance, punctuality, dress, actions, and speech) in all internal and external interactions
