Events Manager (Full Time)

Division: Development & Engagement  

Reports To: Development Director

Overview: The Events Manager is responsible for coordinating CAA’s special events. This position works closely with the Development Director and event-specific planning committees to ensure events are well-planned, financially tracked, and successfully delivered. The role also manages all event-specific marketing and communications, ensuring consistent branding, accurate messaging, and strong digital engagement across all platforms. This position works collaboratively with the Communications Manager to ensure alignment of all messaging and marketing efforts. Outside of special events, this role serves as the primary point of contact for all giveback and outreach events.


Event Planning:

  • Coordinate special event planning in conjunction with the Development Director and respective committees

  • Assist with the development of event sponsorship packets

  • Solicit event sponsorships and maintain positive relationships with event sponsors

  • Ensure all sponsorship deliverables are met

  • Obtain all insurance and permits necessary for special events

  • Manage onsite/day-of production and clean up

  • Organize efficient registration/check-in processes

  • Secure vendors, book event spaces, arrange all food and beverage, recruit volunteers, and ensure events are appropriately staffed

  • Coordinate all event logistics

  • Build out revenue projections and track expenses

  • Ensure the close-out of all event invoices


Marketing:

  • Collect, create, and curate content for special event social media pages

  • Coordinate the design and execute the ordering of all marketing materials authorized by the Development Director

  • Work collaboratively with the Communications Manager to align event-related marketing efforts


Communications:

  • Maintain positive, accurate messaging in alignment with CAA’s mission and values

  • Ensure consistent branding across all communications and platforms

  • Update and oversee special event websites

  • Work closely with our CRM representatives to buildout all online transactions

  • Assist with the development of event marketing plans

  • Build out a communications plan/calendar that aligns with the event marketing plans

  • Manage event social media accounts across all platforms; monitor post engagements

  • Work collaboratively with the Communications Manager to align all event-related communications

  • Serve as the designated point of contact for all giveback events

Qualifications

  • Education/Experience: high school diploma or GED and 2+ years of experience in related fields OR Bachelor’s Degree in hospitality management, marketing, communications, business admin, or other related fields and 1-2 years of experience.

  • Required: Must be 21+ and have a valid Louisiana driver’s license.

Physical Demands

Work is performed at the shelter and at offsite meetings and events. Requires standing or walking for short to moderate periods and the ability to lift and carry up to 40 pounds as needed.
