Title: Part-Time Access to Care Administrative Assistant
Division: Access to Care
Reports To: Director of Access to Care
Position summary: The Part-Time Access to Care Admin Assistant is responsible for organizing and maintaining data systems, entering program data, scheduling veterinary appointments and providing logistical support—but they also represent the team in the community by assisting with events, running errands, and supporting outreach efforts as needed.
Requirements:
Valid driver’s license with access to reliable transportation
Minimum of high school diploma or GED
Availability to work during regular business hours
Ability to work with minimal supervision.
Be organized, resourceful, detail-oriented, self-motivated, and have the ability to multitask.
Have the knowledge and ability to accurately work with detailed information in paper and computerized format.
Be proficient using Google Workspace, Pet Point Shelter Management Software and the HSUS Pets for Life Database.
Be able to read and interpret policies and procedures.
Ability to learn and quickly adapt to changes in programs and procedures.
Be familiar with all CAA Standard Operating Procedures and the Employee Manual.
Represent CAA in a professional manner in all situations with the public, volunteers and staff.
Create and sustain positive working relationships within CAA and with volunteers.
Ability to communicate skillfully and effectively with diverse staff, volunteers, and community in a professional, pleasant, respectful, and courteous manner.
Have a working knowledge of breeds, diseases, medical conditions and animal handling and behavior.
Commitment to treat animals and people with respect and kindness.
A willingness to learn how to develop and maintain strong community relationships.
Be motivated to serve underserved people and their pets.
Ability to deal effectively with the public during emotional or stressful situations.
Have an understanding or willingness to learn about systemic issues that affect underserved populations and a commitment to serve the community.
Essential Duties / Functions: Specific duties of the Part-Time Access to Care Admin Assistant are, but not limited to:
Follow the mission of CAA.
Recording information accurately and in a timely manner into the Pets for Life database and Pet Point.
Responds to phone, text and email communications in a timely manner and routes information to the appropriate department staff member.
Scheduling and following-up with spay/neuter appointments for the public.
Physical Demands:
Ability to lift 30 pounds unassisted regularly, 50+ pounds assisted
Ability to perform strenuous physical activity on a daily basis, including but not limited to: lifting and carrying, reaching, stooping, standing, squatting and bending. Walk or stand for long periods of time in varying weather conditions.
Salary/Benefits: Part-time exempt, $11.50/hour
